Privacy Policy
Effective: March 31, 2026 · Last updated: September 25, 2026
1. Who We Are
FaxDash is a product of The Agentic X Lab LLC, a California limited liability company (“Company,” “we,” “us,” or “our”). This Privacy Policy describes how we collect, use, disclose, and protect your personal information when you use the FaxDash mobile application, website at faxdash.io, and related services (collectively, the “Service”).
2. Information We Collect
Account Information
- Name and email address (provided during registration or via Google/Apple sign-in)
- Authentication credentials (managed securely via our authentication service)
Fax Content
- Documents you scan, upload, or receive through the Service
- Fax metadata: sender/recipient numbers, timestamps, page counts, delivery status
- Cover page content you create
- Signatures and watermarks you add to documents
Device & Usage Information
- Device type, operating system, and app version
- The IP address, device/browser (user agent), and time of your most recent sign-in, and the approximate location (city, region, country, and approximate coordinates) derived from that IP address. We do not use your device's GPS and never ask for location permission. IP-based location is approximate — often only the nearest city or your network provider's region.
- Push notification tokens
- Usage patterns (features used, fax history)
Payment Information
Purchases are processed through Apple App Store and Google Play. We do not directly collect or store your credit card or payment details. We receive transaction confirmations and entitlement data from these platforms.
Support & Feedback
- Information you provide when submitting bug reports, feature requests, or support tickets
- Device and app context included with feedback submissions
3. How We Use Your Information
- To provide the Service: sending, receiving, and managing faxes
- To process documents through our scanning and enhancement pipeline
- To deliver push notifications about fax status and received faxes
- To manage your account, credits, and subscriptions
- To respond to support requests and feedback
- To improve the Service and develop new features
- To prevent fraud and ensure security, including reviewing where and on what device an account was last signed in to when investigating a support request or suspicious activity
4. How We Store Your Data
All data is stored exclusively in the United States using Amazon Web Services (AWS) infrastructure. Documents and faxes are stored in encrypted S3 buckets. User data is stored in DynamoDB with encryption at rest. We use industry-standard encryption for data in transit (TLS) and at rest (AES-256). We do not store payment card details on our systems — card data is handled entirely by our payment processors.
5. How We Share Your Information
We do not sell your personal information. We share data only with:
- Telnyx — Our fax transmission provider, which receives documents and fax numbers necessary to send and receive faxes on your behalf
- Amazon Web Services — Our cloud infrastructure provider for data storage and processing
- Stripe — Our payment processor for credit packs and subscriptions bought on the web or through a connected AI assistant. Stripe receives your email address and an internal account identifier so it can match the purchase to your account. You enter your card details on Stripe's own checkout page; card numbers never reach FaxDash. See Stripe's Privacy Policy.
- Apple / Google — For in-app purchases and subscription management inside the mobile apps
- OpenAI — Analyses the faxes you receive to produce the summary and category shown in your inbox. It receives the content of each received fax. This is on by default and you can turn it off in Settings; with it off, nothing is sent. It is not available for accounts covered by a FaxDash BAA, and nothing from those accounts is sent to it. We previously used Google's Gemini API for this and may use a different provider in future; this list is kept current with the provider actually in use.
- An AI assistant you connect — Only if you choose to connect one, and only the data covered by the permissions you approve. See the section below.
- IP geolocation providers (ipwho.is, IPinfo) — To estimate the approximate location of a sign-in, we send the sign-in IP address, and nothing else, to these services. They receive no name, email address, or account identifier.
- Law enforcement — When required by law, court order, or to protect safety
6. AI Assistants and Connectors
You can connect FaxDash to an AI assistant such as Claude, ChatGPT, or Grok. This is optional, off by default, and requires you to sign in and approve each permission.
Once connected, the assistant can request only what you approved:
- Send faxes — the document you give it and the destination number, which are then handled exactly like any other fax you send
- View fax history — destination numbers, page counts, status and dates
- Read received faxes — everything your inbox shows about them, including the extracted text, plus a link to download the document
- View contacts — your saved contacts, as they appear in the app
- View credit balance — your balance and usage totals
- Start a purchase — creates a checkout link; the assistant cannot complete a payment
Anything the assistant retrieves is processed by the provider of that assistant, under their privacy policy and not ours. If you ask an assistant to list your faxes, those destination numbers and dates pass through their systems. Apart from the analysis of received faxes described in section 5, which you can turn off, we do not send your data to an AI provider ourselves, and we do not use your documents to train any model.
Remove the connector in your assistant, or revoke it under Settings › Security, at any time. It stops renewing its access; what it already holds lapses on its own within five minutes, its current token and any document link it was given alike.
7. Data Retention
- Fax documents: Retained while your account is active. You may delete individual documents at any time.
- Vault documents: Retained according to your vault settings with immutable audit trails.
- Account data: Retained until you request account deletion.
- Sign-in IP address and approximate location: Only the most recent sign-in is kept; each new sign-in replaces it. It is deleted when you delete your account.
- Fax metadata: Retained for your transaction history and audit purposes.
8. Your Rights
You may:
- Access and download your data through the app
- Delete individual documents and faxes
- Request full account deletion — see Delete Your Account for how, and for what is removed
- Opt out of push notifications via device settings
California residents may have additional rights under the CCPA, including the right to know what data we collect and the right to request deletion. Contact us to exercise these rights.
9. Security
We use industry-standard security measures including encrypted storage, secure authentication with JWT tokens, HTTPS for all communications, and access controls on our infrastructure. While no system is 100% secure, we take reasonable measures to protect your data.
10. Children's Privacy
The Service is not intended for children under the age of 13. We do not knowingly collect personal information from children under 13. If we learn that we have collected data from a child under 13, we will take steps to delete it promptly.
11. Third-Party Links
The Service may contain links to third-party websites or services. We are not responsible for the privacy practices of these third parties.
12. Changes to This Policy
We may update this Privacy Policy from time to time. We will notify you of material changes by posting the updated policy in the app or on our website. Your continued use of the Service after changes constitutes acceptance.
